The role will be responsible for delivering efficient administrative support that facilitates the smooth running of the People Department. A pure generalist HR Advisor role, with the opportunity to be involved in all aspects of the Push HR life cycle, including talent acquisition, learning & development, benefits, well-being etc.
Reporting to People & Culture Director, you will understand Human Resources management and be given general administrative responsibilities. The role will directly support the People Team with talent acquisition and onboarding, employee relations casework, HR systems administration, learning & development and other HR-related initiatives as required.
A vital part of the role is handling a fast-moving, constantly changing environment with a positive mindset. This role is central to maintaining a cohesive and positive working environment, so being hands-on, Fast and Always Ahead.
Main Responsibilities
Talent Acquisition
- Under the direct management of the Talent Acquisition Director, assist with CV screening and shortlisting junior- mid-level roles, i.e. graduate Account Executives/Managers.
- Assist with post advertisements on job boards, monitor application status, send CVs to the People Managers, and manage updates using internal tracker sheets or HR system/ tool.
- Log invoices for Indeed & LinkedIn.
- Supporting the recruitment administration, including coordinating job interviews on behalf of managers and managing communication with candidates where required
- Send contracts to candidates and monitor the signing status to meet the agreed commencement date for the new starters.
Onboarding
- Administer the entire onboarding process for new starters, including preparation of contractual documentation and ensuring compliance with safer recruitment practices such as Right to Work, including but not limited
- Manage references, signing of employment contracts,
- Create a new profile for new starters on all HR systems/ tools, and ensure it includes all relevant employment-related information timely on the system.
- Assist with the creation and management of the Push Buddy & Mentor System
- Conduct housekeeping meetings with new starters where appropriate and liaise with line managers to ensure they know their responsibility in the process.
- Administer the probation process, including ensuring managers know when review meetings should occur and issuing corresponding confirmation letters.
Training
- Support the Learning & Development Manager, and manage calendar scheduling for all internal and external training,
- Provide administrative support for the HRIS/Learning Management System to ensure all staff can access appropriate learning opportunities and maintain an accurate record of training and skills.
- Ensure all mandatory training is completed, and provide advice, support and guidance to new starters about training and development opportunities.
HR Systems & Reporting
- Support the People & Culture Director with the implementation of the new HRIS system and onboarding full headcount on the system
- Ensure the system accurately reflects current employment conditions and details and is regularly updated
- Produce regular statistical reports on HR Key Performance Indicators (i.e. employee attrition) to People Team Director(s),
- Champion and support people managers to use and update the system properly.
- Contribution to generating ideas and assisting the broader People team and People & Culture Director in delivering HR projects and initiatives across Push.
Coordination & Employee Relations
- Act as first-line contact for all employees and junior management about HR queries regarding policy and procedure and employee relations,
- Under the direct management of the People & Culture Director, manage and update all HR documentation, including policies, procedures, template letters, forms and systems, ensuring they are up-to-date and in line with business and legal requirements.
- Support employee relations cases, including disciplinary, grievance, attendance/absence management, performance management and probation reviews, with the support and guidance of the People & Culture Director.
Payroll, Compensation & Benefits
- Prepare all letters or contracts for changes to employee terms and conditions in line with the appropriate documentation and relevant approvals.
- Liaise Finance Team for any key approved changes
- Liaise with external benefit providers to ensure a seamless process for implementation, use and administration
- Assist the People & Culture Director with annual HR processes such as salary review and bonus administration.
Leavers
- Ensure resignations are acknowledged promptly, the Line Manager is aware of the process, and any outstanding holidays are calculated per the employee’s terms and conditions.
- Ensure exit interviews are conducted for all staff and quarterly summaries are compiled and escalated for trend analysis with People & Culture Director & Talent Acquisition Director.
Key competencies & experience
- 1+ years of HR Assistant or Coordinator experience – Graduates are also welcome
- CIPD Level 3 is desirable but not essential
- Innovative mindset and ability to use initiative to seek to improve processes constantly.
- Have a proven track record as a proactive and self-motivated HR person seeking to implement the skills you have gained throughout your career.
This role could be remote (UK based) or a hybrid role based in the office in West London
